1. Set your venue size
First thing you do is tell the system how big your venue is. Enter the real width and height in meters, and the canvas instantly scales to fit your screen. Drag the corner of your browser window and it re-fits automatically no zooming, no cropping.
Every position in the designer is expressed in meters relative to the venue's top-left corner. If your venue is 20 × 15 m and you place a table 3 m from the left wall and 5 m from the top wall, that's exactly where it sits on the blueprint.
2. Add tables
Every table is fully customised no forcing your venue into pre-set table sizes.
Shape
- Round for the classic circular banquet table
- Square for intimate 4-person tables or kids' tables
- Rectangle for long tables (head tables, family tables)
Size in meters
Enter the exact width and height in meters. Round tables use a single diameter. A typical 8-seat round table is 1.8 m ⌀. A rectangular head table might be 6 m × 1 m.
Seats
Set how many seats the table holds (1–20). Seats are automatically distributed around the table's perimeter evenly spaced on round tables, and along the edges for square and rectangular tables.
Position
Place it by dragging on the canvas or by typing exact distances from the left and top walls in meters.
3. Add infrastructure
Your venue isn't just tables. Paperless lets you place the whole room:
- Dance Floor usually 5 × 4 m or larger
- DJ Booth typical 3 × 2 m
- Entrance the door guests walk through
- Bar 4 × 1 m on average
- Cake Table 1.5 × 1.5 m
- Stage for live bands or ceremonies
- Gift Table 2 × 1 m
Each infrastructure element has a size, shape (rectangle or round), label, and exact position. You can edit them any time by double-clicking on the canvas.
Every element gets a distinct colour on the canvas so you can instantly read the room purple for dance floor, orange for DJ, green for entrance, yellow for bar, pink for cake, blue for stage, cyan for gifts.
4. Precise positioning
Every table and infrastructure element has two ways to set its exact position:
Type the meters
Enter the exact distance from the left wall and top wall in meters. Great for when you know your venue layout to the centimetre.
One-click position helpers
- Center H centre horizontally in the venue
- Center V centre vertically
- Align top (0 m) flush against the top wall
- Align left (0 m) flush against the left wall
- Snap to right wall automatically positioned against the right edge
- Snap to bottom wall automatically positioned against the bottom edge
Combined, these let you place a table against a wall, centre the dance floor, or align the bar along an edge in two clicks.
5. Assign guests to seats
Once tables are placed, your confirmed guests appear in a sidebar. Two ways to seat them:
Drag-and-drop
Drag any guest's name from the sidebar straight onto a seat. The seat fills with their name and their assignment saves instantly.
Click to assign
Click any seat to open the assignment modal. Choose from a dropdown of every confirmed guest including their +1s by name and save.
Guests with a party of 3 (e.g., "Mr. & Mrs. Khoury + daughter") appear as three separate draggable items: the primary guest and their two +1s. Each can be seated at a different table if needed.
Table-only assignment
Not everyone wants seat-level precision. If you just want to assign a guest to a table and let them choose their own seat, you can use the table-only field on the invitee record. The designer gracefully handles both modes side-by-side.
6. Three export types
Once your floor plan is designed, three exports let you share it with different audiences.
For your venue manager. Shows every table, seat number, and infrastructure with meters and distances to walls and nearest objects, drawn directly on the plan.
Same as the empty blueprint, but every seat shows the guest's name perfect for door staff or the head waiter.
A4 PDF sorted alphabetically by last name, grouped by letter, showing every guest's table and seat number.
Empty Blueprint (for the venue)
This is the file you send to your banquet manager. It shows:
- Venue outline with dimensions (e.g., 20.00 m × 15.00 m) on all four sides
- 1-meter grid on the canvas so they can read positions to the centimetre
- Every table with its dimensions (e.g., "1.80 ⌀ m" or "6.00 × 1.00 m")
- Every infrastructure element with its dimensions
- Red dashed lines from each object to the nearest wall, with the exact distance in meters
- Blue dashed lines from each object to the nearest other object, with the exact distance in meters
Your venue manager receives a fully-dimensioned blueprint they can set up from no back-and-forth, no guessing.
Named Blueprint (for the door)
Identical to the empty blueprint, but every seat circle is replaced by the guest's name. Perfect for door staff doing a visual check, or for the head waiter to guide guests to their tables.
Guest Seating List (for the entrance table)
An A4 PDF that lists every confirmed guest, sorted alphabetically by last name. Guests are grouped by their last name's first letter (A, B, C, ...) so it's easy to navigate. Each row shows:
- Guest's full name
- Table name
- Seat number
- Side (Bride or Groom)
Structured as a proper table with headers, striped rows, and page numbers no overlapping text, no unreadable mess.
Also included
PDF seating cards
Generate printable individual seating cards for every confirmed guest 1, 2, or 4 cards per page. Each card shows the guest's name, table, confirmed party size, and an optional QR code for check-in.
Table allocation sheet
A one-page summary listing every table with its confirmed guests. Send it to your caterer or venue the day before the wedding.
Capacity monitoring
Set a default table capacity (e.g., 8 or 12) and the dashboard warns you when a table is under-filled or over-capacity, using colour-coded indicators.
Frequently asked questions
Do I need to place every seat, or can I just assign guests to tables?
Both work. Seat-level assignment is fully supported (drag a guest to a specific seat), but you can also just assign a guest to a table and let them pick their own seat. The choice is per-guest.
Can I change the venue size after placing tables?
Yes. Open Venue Size, enter the new dimensions, and everything inside is clamped into the new bounds automatically. Nothing is lost.
What does the venue see on the blueprint?
Everything they need: real-world dimensions, grid, distances to walls, and distances between objects. They can set up the room without measuring anything themselves.
Can I reuse a floor plan for another event?
Not automatically each event has its own floor plan. But you can always screenshot or print the blueprint and reference it as a starting point.

How does the guest seating list sort names?
By last name, grouped by the last name's first letter. So "Mr. Elie Aoun" appears under A, "Mrs. Nadine Haddad" appears under H no confusion between Mr./Mrs. and last names.
Does it work on tablets or phones?
The designer is best on a laptop or desktop, but the canvas works on tablets too. Exports are one-tap regardless of device.
