Guest List Management & Relationship Mapping

Included in all packages
Guest list management dashboard

Your guest list is the foundation of everything invitations, RSVP tracking, table assignments, check-in. Paperless gives you a clean dashboard to build, organise, and manage it with tools that go far beyond a simple address book.

Import in seconds, not hours

Already have your list in Excel? Upload it once and you're done. Our template includes columns for:

  • Title (Mr., Mrs., Dr., etc.)
  • First name, Last name
  • Phone number (for WhatsApp delivery)
  • Side (Bride's or Groom's)
  • Relationship (Family, Friend, Work, College, Neighbor, Extended Family, Other)
  • Table number
  • Guest count (how many seats reserved for this party)
  • Confirmed count
  • Extras (for "& Family", "+1", etc.)

Download our template, fill it in, upload it. That's it. If you don't have Excel, you can also add guests one by one or use Google Sheets and export as .xlsx.

Relationship Mapping

Every guest can be tagged with a relationship type, and each type gets its own colour across the dashboard. This is the quiet superpower of the guest list it makes filtering, seating, and group messaging dramatically easier.

The seven relationship types

Family Friend Work College Neighbor Extended Family Other

Why this matters for seating

When you move to the Floor Plan Designer, relationship mapping makes table planning 10× faster. You can instantly spot which tables have the right social mix cousins with cousins, colleagues with colleagues, friends from different life stages kept separate if needed.

Filter by relationship

The guest list includes a relationship filter dropdown alongside the Bride/Groom side filter. One tap shows you, for example, only the groom's work colleagues perfect for sending a specific update to a specific group.

+1 Name Management

When a guest RSVPs with a party of 2 or more (a "plus-one", a spouse, a child, a family), the Paperless dashboard lets you record each additional guest's actual name not just a number.

How it works

  1. Guest RSVPs with a party size of, say, 3 (the primary guest + 2 others)
  2. The dashboard shows a "+1 Names" chip next to their name visible only when the party has extras
  3. Click the chip to open the +1 Names modal
  4. Type each additional guest's real name
  5. Save from that moment, every part of the system uses their names

Where the +1 names appear

  • Guest list the chip shows "2/2 named" when complete, "1/2 named" when partial
  • Floor Plan Designer each +1 appears as a separate draggable item in the sidebar, with their name
  • Named Blueprint export each seat shows the +1's actual name
  • Guest Seating List PDF each +1 is listed separately with their table and seat
  • No-Show Report tracks the primary guest's attendance with the party size

Unnamed +1s

If you never fill in the +1 names, the system still works unnamed guests show as "Guest 1", "Guest 2", "Guest 3" for that party. No data is lost, and you can add the names any time. But named +1s make a huge difference for the door staff and the venue.

Organize by side Bride and Groom

Every guest belongs to a side Bride's Side or Groom's Side. One tap on the filter switches the entire view. You'll immediately see:

  • How many guests each side invited
  • Who's RSVP'd from each side
  • Table distribution per side (useful for the wedding-day seating chart)

Search and filter instantly

Need to find "Elias"? Type two letters and he appears. Need to see only guests who haven't RSVP'd yet? One filter. Need to see the bride's side who's confirmed attendance? Two taps. Need to see all work colleagues at a glance? Relationship filter.

Edit any guest in seconds

Every guest has an edit form accessible from the guest list. Update:

  • Name, phone, side, relationship
  • Party size or confirmed count
  • Table assignment
  • RSVP status
  • Message status (whether you've sent their invite already)

Changes are saved to the cloud instantly you and your partner both see the same numbers.

What happens when you add guests

  1. You add the guest (individually or via import)
  2. They appear in your guest list and stats
  3. You can send their personalized WhatsApp invite right from the list
  4. When they RSVP, their status updates through real-time tracking
  5. If they're a party of 2+, use the +1 Names chip to fill in their companions

Bulk actions

  • Delete multiple guests select rows, remove in one action
  • Export to Excel download your full list as a spreadsheet any time
  • Send to pending guests batch-send reminders to everyone who hasn't replied

Guest capacity tracking

Every account has a maximum guest limit. Your dashboard shows your current count vs your limit at all times, so you always know how much room you have before you invite more.

Frequently asked questions

Can I import from Google Contacts?

Export your contacts to a CSV or Excel file, then import. The system matches column headers automatically.

Can I have duplicate guests on both sides?

Yes some guests are on both sides of the family. Just add them under the side they're primarily associated with. You can also cross-tag with the relationship field.

What's the maximum number of guests?

Package limits start at 100 and increase with your plan. Contact us on WhatsApp for a custom limit if you're planning a very large event.

Why is relationship mapping useful if I only care about sides?

Even if you don't care about filtering, the relationship tags give you a fast visual sense of your guest list at a glance. When you're planning tables, or writing the seating chart, or deciding who to send updates to the tags help you think in groups.

What if a guest adds a plus-one after they've already RSVP'd?

They can reopen their invitation link and update their RSVP. The count updates in real time, and the +1 Names chip appears with one more slot to fill in.
